SlotFlo Terms of Use
The canonical Terms governing Business Customer access to SlotFlo, billing, roles, liability, AI beta features, suspension, termination and Data Processing Terms.

These in-app Terms of Use are the canonical Terms for SlotFlo.
English is the reference legal version. If a translated copy differs, the English version prevails unless mandatory law requires otherwise.

B2B SaaS service
SlotFlo provides software tooling for booking management and AI-assisted operations for service businesses.
SlotFlo is not a marketplace, broker, agent, reseller, employment platform or customer lead marketplace.
SlotFlo does not provide, supervise or guarantee the Business Customer's real-world services.
The paying customer is the Owner or Business Customer that creates and operates a SlotFlo workspace.
End Customers book with the Business Customer, not with SlotFlo. SlotFlo only provides the technical booking platform.
Business and staff responsibility
The Business Customer is responsible for its services, staff, prices, availability, business information, cancellation rules, customer relationship, customer communication, regulatory or professional compliance and resolving booking conflicts.
Staff CRM access is resource-scoped according to the current product role model. Staff users must not attempt to access customers, bookings or resources outside their permitted resource scope.
Public booking forms must not be used for emergencies, urgent medical needs, life-critical situations or safety-critical dispatch.
Accurate information and permitted use
Users must provide accurate account, billing, business, staff, service, availability and booking information and keep it reasonably up to date.
Users must not attack, scrape, overload, reverse engineer, abuse APIs, probe security controls, bypass access controls or access data without authorization.
API and integration access must be used only within the granted tenant, location, service and role permissions.
Trial, subscription and auto-renewal
The self-serve trial is 14 days unless signup or checkout clearly states otherwise.
Recurring monthly and yearly subscriptions renew automatically unless the Business Customer cancels before the relevant period ends.
Cancellation stops future renewal and preserves access until the current paid period or trial period ends.
After the relevant period ends, protected paid access and export access may end.

- Subscription charges are not automatically refundable after payment. Cancellation stops future renewals but does not refund the current billing period, unless required by law. SlotFlo may issue a voluntary refund through support at its sole discretion. Where a voluntary refund is not legally required, non-refundable Stripe or other payment processing fees may be deducted where legally permitted.

Failed payment, recovery and access pause
If payment fails, the Business Customer has a 7-day payment recovery window to resolve billing.
During this recovery window, SlotFlo may keep the workspace operational while showing billing recovery notices.
If payment is not resolved within 7 days, SlotFlo may pause protected workspace access, including owner access, staff access, public booking functionality, AI Features, exports, plan changes and workspace management.
Billing recovery access may remain available.
If payment remains unresolved, access may be finally terminated and operational Customer Data may be scheduled for deletion or anonymisation according to the retention rules.
Refunds, pricing and taxes
Subscription charges are not automatically refundable after payment. Cancellation stops future renewals but does not refund the current billing period, unless required by law. SlotFlo may issue a voluntary refund through support at its sole discretion. Where a voluntary refund is not legally required, non-refundable Stripe or other payment processing fees may be deducted where legally permitted.
The price shown at checkout is the final amount charged by SlotFlo for the selected plan and billing period, unless checkout clearly states otherwise.
SlotFlo is responsible for taxes it is legally required to account for, report or remit in relation to its own sale of the Service.
Lifetime plans
A lifetime plan means access to the relevant SlotFlo plan for as long as SlotFlo continues to operate the relevant Service and the account remains in good standing.
It does not mean the lifetime of the buyer or perpetual operation of SlotFlo.
AI Features
AI Features are beta and assistive. They may be wrong, incomplete or outdated.
OpenAI is the only AI provider for launch.
The Business Customer is responsible for the accuracy of knowledge sources, business information and any AI-assisted communication with customers.
Do not use AI Features for emergency, legal, medical, financial, employment, safety-critical or regulated decisions without appropriate human review.
Availability and support
SlotFlo may be temporarily unavailable because of maintenance, bugs, infrastructure issues, security work or third-party providers.
SlotFlo provides no SLA, no 100% uninterrupted availability guarantee and no service credits.
SlotFlo provides no support response time guarantee unless a separate written SLA applies.
Liability
To the extent permitted by law, SlotFlo's liability is limited to direct losses caused by SlotFlo and excludes indirect, consequential, lost-profit, lost-business, lost-data or customer-relationship losses.
Nothing in these Terms limits liability that cannot be limited under mandatory law.
Suspension, deletion and termination
SlotFlo may suspend or restrict access for unpaid billing, unresolved billing, abuse, security risk, legal risk, policy breach or misuse of the platform.
Owners cannot delete a workspace during an active or trialing subscription, during a past_due or unresolved billing state, or while unpaid invoices, payment disputes or chargebacks remain unresolved.
If active or future bookings exist, workspace deletion requires a strong warning and explicit confirmation. The Business Customer remains responsible for notifying End Customers and resolving appointments.
Operational data deletion is targeted within 30 days after confirmed deletion or final unresolved non-payment termination, subject to legal, billing, tax, security, fraud, dispute and backup exceptions.
Data Processing Terms
For End Customer, client, booking, staff, resource and business-operation data, the Business Customer is the controller and SlotFlo acts as processor.
For SlotFlo account, authentication, billing, support, security, cookie consent and product analytics data, SlotFlo acts as controller.
- Subject matter and duration: processor services for the duration of the Business Customer's use of SlotFlo.
- Nature and purpose: hosting, booking operations, communications, workspace administration, AI/RAG features and support services requested by the Business Customer.
- Categories of data subjects: owners, staff users, End Customers, prospects and other business contacts entered by the Business Customer.
- Types of personal data: identity, contact, booking, schedule, service, location, notes, communication and technical/security data processed through the Service.
- Controller obligations: the Business Customer must use SlotFlo lawfully, provide required notices, obtain required permissions and issue lawful processing instructions.
- Processor obligations: SlotFlo processes data on documented instructions, keeps confidentiality, applies security measures, assists with rights and breach response, supports deletion/return at end of service and provides reasonable compliance information.
- Subprocessors and international transfers: SlotFlo uses infrastructure and service subprocessors described in the Privacy Policy and applies contractual safeguards where required.
Governing law and jurisdiction
These Terms are governed by the laws of Spain. Courts in Barcelona, Spain have jurisdiction unless mandatory law requires otherwise.
